Privacy Policy

This Privacy Policy explains how Keystone (“Keystone,” “we,” “us”) collects, uses, shares, and protects information when you use our websites, apps, and services (the “Service”). Keystone is a technology provider; certain financial functions are performed by licensed partners as described below.

1. Information we collect

  • Account & profile: name, email, phone, role (landlord, property manager, tenant), and organization.
  • Property & tenancy: units, leases, agreements, and related documents you upload.
  • Payment & financial: bank/funding-source details and transaction history, handled primarily by our banking/payments partner. For identity verification (KYC/CIP), limited identity data such as name, date of birth, address, and the last four digits of a government ID.
  • Consent records: the consents you give (e.g., ACH authorization, e-sign, credit-reporting opt-in), including the disclosure version shown, timestamp, and IP address.
  • Usage & device: log data, device identifiers, and cookies needed to operate and secure the Service.

2. How we use information

To provide the Service (collect and settle rent, send leases for signature, reconcile payments), verify identity, prevent fraud, comply with law, communicate with you, and improve the product. We do not sell your personal information.

3. Financial data & partners

Payments are processed by a licensed banking/payments partner; credit reporting, where you opt in, is furnished by a partner bureau. These partners process the relevant data under their own terms and applicable law (including the Gramm-Leach-Bliley Act and the Fair Credit Reporting Act). Keystone is not a bank and does not take custody of funds.

4. How we share information

With the licensed partners above to deliver the Service; with service providers (hosting, email, analytics) under contract; between a landlord/manager and their tenants as the Service requires; and where required by law or to protect rights and safety. We share the minimum necessary.

5. Your choices & rights

  • Credit reporting is off by default and can be turned on or off at any time.
  • Autopay (ACH) authorization is revocable at any time.
  • Access, correction, deletion, and portability may be available depending on your state; contact us to exercise them.
  • Marketing email can be unsubscribed at any time; transactional messages are required to use the Service.

6. Security & retention

We use encryption in transit and at rest, database-level tenant isolation, least-privilege access, and signature-verified webhooks. Consent records are retained on an append-only basis as a legal audit trail. We retain other information for as long as needed to provide the Service and meet legal, tax, and accounting obligations.

7. Children

The Service is for adults (18+) and is not directed to children.

8. Changes

We may update this policy; we will post the new date above and, for material changes, notify you in-app or by email.
